General Meeting November 6, 2007

Susan MacKenzie, President, welcomed everyone.

Recap - Thank you to all those involved in the Pancake Breakfast. Huge success. Dorrine Dalley reported estimate of 667 tickets sold. Some late dollars are still coming in. Approximate total $3,500.00. Kim Bouck secured donation of sausages from David Sacks. A thank you card was circulated.


FBA - STRAIGHT SUPERIORS. Thank you to the group of volunteers that helped the Deland parents so that they could watch their band perform.


Mr. McKaig entered the room from the practice field and shared the following:

Very proud of weekend performance. Saturday at University High School will be different. It is not a ratings competition. Judges are flown in, nationally known directors. Parents, plan to go early and view other bands perform. The schedule for the bands and driving directions are available to all. Spruce Creek performs at 7:30 p.m. Colorguard auditions will be next week (Wednesday) Two different teams, one very competitive. Florida Federation of Colorguard - Traveling to World Championship in Dayton, Ohio in April. Friends and family night again will be scheduled in the spring. Great success and wonderful opportunity to see what the group is doing. In the process of selecting soundtracks that do not infringe any copyright laws.


Discussion of in-service points. All students must acquire “50" in-service points in order to receive an invitation to the Annual Musical Performing Arts banquet in May. Mr. Kidd will address all questions concerning this requirement.


Playoff Game, Friday, November 16, 2007 at Lake Brantley. A copy of the 2007 FHSAA Class 6A Football Championship schedule is attached to tonight’s agenda.


Adult Staffing - Lynn Kindy passed clipboards around for volunteer sign up for next several events.

Senior Night/Middle School Night - Friday, November 9th. Non-senior parents asked to sign up to chaperone because Senior parents will be involved in the pre-game presentation. University High School Classic Marching Invitational, Saturday, November 10th, students report at 3 p.m., chaperones report by 4:00 p.m. Four charter busses have been ordered, no more than twenty chaperones. Definite count needed, also regional quarterfinals, football championship November 16th at Lake Brantley.


Luminary - Jan Albert reported the big fundraiser sale begins December 1st and December 8th. The sand and candles would be delivered on Friday. Assembly of kits to occur November 15th and 16th . 49 drivers had signed up to drive. We will need 55 for the first day. Volunteers are needed to be product runners. You will be required to transport kits/sand to areas that are needing more kits. Importance of getting involved. Vehicle must be large enough to transport four students, kits and sand. Sign up sheets were passed around for all who have not signed up. 86 map areas were done. Driver packets with permits complete. If driving, please bring small bills around $30.00 in $1.00's to make change if necessary. If driving, please dress in festive holiday colors, your job is to keep the students motivated as they go door-to-door. Students will be told to bring money for lunch and you may stop for a quick lunch. Kits sell for $6.00. Lengthy discussion to answer questions from new parents about the sale and what was involved. Empty boxes were needed to store the assembled kits. Please bring to band room next week. Expenses for sale include the purchase of candles and printing. All other items needed have been donated. Delivery of pre-sale orders will be done on the second day as well as the door-hanger sales.


Uniforms - Cindy Berdeguez informed parents that the jackets were in for anyone that ordered them - another order in January. Uniforms can be cleaned anytime, just make her aware that your student is taking the uniform home for cleaning. Uniforms will be worn for luminary on December 1st and taken home to be worn for the Port Orange Christmas parade on December 2nd. Prism concert next month and all guys and gals should have their appropriate outfits. Bowties and garment bags are $7.00. Anyone interested in a fresh Christmas tree, wreath or centerpiece could see her as she was handling the Creekside Middle School sale again this year.


Grants and Business Partners - Lynn Kaiser-Conrad reminded everyone that the SunTrust “My Cause” account opportunity had been extended until the end of the year. The association had received a small donation from the News-Journal. She has applied for grant money and anyone that knows of corporate contacts should see her.


Silent Auction - Tecla Lucignani reported that a date and place had not been selected yet. More information would be available at the December meeting. The students would then receive their auction packets explaining everything and the deadlines involved.


Tecla inquired about the podiums used at FBA and the possibility of having them covered. Beth Carpenter indicated that she was available to create something. This question would be presented to the directors.


Webmaster - There was nothing discussed as Anthony Malena was not present.


Communications - Cheri Grigg reported that the final roster was completed. It had been very difficult this year to get complete information. It will be presented at the next meeting so please check the accuracy of the information. Thank you to Cheri for her efforts in compiling this roster.


Colorguard - Beth Carpenter reported that even with the rainout of the Port Orange Family Days, it was a great success for the colorguard. She highly recommends that the band consider it next year. The colorguard auctioned off decorative baskets and sold concessions in an area not having other concessions. The guard received volunteer hours for their involvement in this event.


Orchestra - Kim Bouck stated that they were anticipating the end of marching season. They were disappointed that there would not be an adjunct instructor hired due to school budget cuts. Mr. Seth had been working with the students. The Prism Concert is scheduled for December 13th. All County auditions were scheduled for November 28th and would be held at Spruce Creek. Solo-Ensemble did great. Superior, great reviews.


Concessions - Kris Light indicated that volunteers would be needed to help with concessions during All-County auditions on November 28th. Two shifts would be needed A clipboard for volunteers was circulated. Include your name, phone and which shift you can work. First shift would start at 3 p.m. and involve set-up. Second shift would start around 6 p.m. Simple menu, pizza, hot dogs, nachos, chips, etc. Just something to hold the students over. Kim Bouck volunteered again to take care of feeding the judges for the All-County auditions, in the hospitality room.


Treasurer Report – Terri Karol distributed the latest financial statement.


Directors’ Report - Mr. Kidd explained the in-service requirement. Every Band, Orchestra and Guard student must have a minimum of in-service points to be invited to the Spring Awards Banquet at the Daytona 500 Club in May. In-service points are awarded by the directors. Points are awarded for the following: a fundraising activity for the music program, i.e., luminary sale, pancake breakfast, Lakeside jazz, Relay for Life, working a concession stand for band or guard, etc. Points are also awarded for service to the community, i.e., teaching middle school students, private lessons, performing for assisted living facilities, performing in church cantatas or dance concerts, duties assigned by directors to help around the music room. In-service points will also be awarded for participation in all-state rehearsals, all-county rehearsals. Each in-service point is equal to a clock hour. Parent volunteer hours (10) can also be credited to the student account. There are forms available in the band room for in-service point tracking. These forms are to be completed, signed by an official adult witnessing the activity, and then signed by either Mr. Kidd, Mr. Seth or Mr. McKaig. The intention of this In-service point system, which we are bringing back into the program as agreed by the music executive board in September, is to create an atmosphere of community involvement within the music organization. A sense that in order to have such a “state of the art” music and visual program, one must participate in the fundraising and culture of the community.


Just received an e-mail, exciting news, we had applied for Grammy Signature School. Awarded, tiered as finalist. Made first round. Visit www.grammyfoundation.com for further information on the screening process. Next round is due December 2nd. CD’s will be sent. Financial awards anywhere from $1,000-$25,000. Four Florida schools that made it. Two are magnet schools.


Mr. Kidd addressed the earlier question about covering the drum major podiums with fabric. Unfortunately, we would block the guard performing in front and also the pit. We will be looking into a different podium next year.


Thank you to all that helped in the pancake breakfast. Let’s check the calendar for Bike week and try to schedule one at that time.


Hospitality - Susan Salerno reported that Quiznos would be available again for students on Saturday, at a cost of $5.00. This would include a sandwich, cookie, chips, etc. and Gatorade. Any chaperones would need to see her this evening if they wanted to purchase the meal. Will be getting sweet treat donations for both mornings of luminary.
