Executive Band Board Meeting

July 13, 2004

 

Meeting called to order: Rick Spitz.  Meeting called to order at 5:30 PM

 

Members present:

Rick Spitz, Sharon Owens, Martha Fabian, Angela Wallace, Jenna Steen, Claudia Hahl, Cathy Bevenger, Nancy Norman, Margaret Roberts, Andy Kidd, John Seth, Terri Karol, Mary Mathis, B.J. Mitchell & Elaine Kinion present.

 

Secretary's Report: Elaine Kinion recording for Sue MacKenzie

B.J. reported that she has received responses from half of the emails sent out. 

 

Treasurer's Report: Terri Karol.   Please see handouts.  Cash balance on hand is $9803.15.  Approximately  $7000 from student accounts.  $1000 of capital campaign donations from Paytas Homes is to be used for transportation needs and we are to put their logo on the trailer.  The remaining donations from the capital campaign is now unrestricted for use. 

Band and colorguard uniforms will be separated out for this year.

We need to remember to get the logo for our sponsors to put on the trailer.

 

Parliamentarian's Message:  Margaret Roberts

A report will need to be posted on the web site within 21 days following an association meeting.  The president can make this report. 

 

Director's Report: Andy Kidd & John Seth.

The band trailer restoration was done at Econo Auto Painting for $328.  Vinyl signs and lettering are still needed.

$1215 was spent at Laceys for the purchase of white T-shirts for every student and chaperone going to London.  $336 was spent for staff shirts.

We received notification of the grant award for $5272.  Part of this money will go for extra expenses while in London such as $1500 truck rental, gas and driver that will be required for 13 movements; drum rental of $250; payment for professionals and assistants at Trinity for approximately $200; St. Lukes staffing $616; $50-60 donation to the Embankment Gardens for use of the amphitheater; and misc. expenses for concierge tips, student viola player from Trinity college.

London trip itineraries, packing list, etc will be handed out tonight.  Students will get their copy at the 3PM Sunday performance.  Chaperones will get their packets tonight at the meeting.

 

Mr. Seth reported the finale for the half time program is just about complete and he will begin to order music.

 

Football Ads:  Nancy Lowden Norman

About $4000 of ads have come in and are being posted as soon as they come in. 

The renewal ads are working out beautifully by not having to scan them.

 

Adult Staffing: Martha Fabian   nothing to report

 

Guard Report: Shawn McKaig – not present

 

Uniform Report: Mary Mathis.

T-shirts and polos will be handed out and sold tonight.  T-shirts for spirit group will be $5.  Polos will be $20.

 

Concessions: Angela Wallace

Angela reported a good turn out to help move the concession equipment last Tuesday. 

Band camp meals are still being set up.  Help is needed to set up and serve during band camp. 

Approximately 15 volunteers per day for the band camp meals.  B.J. will send out an email to ask for volunteers.

 

Silent Auction: Still looking for a chair

 

Old Business:

Sharon Owens thanked Jenna Steen for all the work she did in preparing, presenting and obtaining the grant of $5272 for the London field study.

 

New Business:

Board Meetings will be at 6PM on the first Tuesday of every month prior to the General meeting at 7:30 PM
