Secretary’s Report – Sandy Comparato has resigned and Elaine Kinion has agreed to fill the position.  Minutes from the November meeting were distributed.  Minutes to be posted to the web site after approval.

·        Press releases for the luminary sale were sent to radio stations and the newspaper

 

Treasurer’s Report: Terri Karol

·        Please see handouts

·        Funds low until luminaries are sold

·        $15,000 balance includes all student accounts

·        Ken Lipowitz does not have student accounts updated yet but these will be mailed out when completed

Director’s Report: Andy Kidd

·        Luminary sale begins Saturday.  Santa hats and  band uniforms required for everyone

·        3,500 luminary kits have been assembled

·        Each kit contains 10 candles, 10 white bags, and sand.  Each kit sells for $6.00

·        Calendar of events

·        Thursday, Dec 4, 2003 Walt Disney Parade – taking 4 school busses.  Meet at school at 5PM and leave at 5:30PM.  Will go straight to Disney – students to eat before leaving school.  Full band uniform.  Music to be memorized.  All students receive 2 tickets for their participation in each parade.

·        Thursday, Dec. 11, 2003 Walt Disney Parade – same as above

·        Luminary sales this Sat Dec 6, 2003 Report 8 AM.  This is a major fundraiser.  All are expected to participate

·         Saturday, Dec 6, 2003 11 O’Clock Jazz Band performs at Port Orange Amphitheater.  Report at 5PM – (polos and khakis)

·        Saturday, Dec 6, 2003 12 O’Clock Jazz Band performs at Daytona Ocean Center.  Report at 7PM – full tuxedos. 

·        Sunday, Dec 7, 2003 Port Orange Holiday Parade – Marching Band.  Report behind Albertsons at 1:15PM.  Parade begins at 2PM and band should be finished around 245PM. 

·        Monday, Dec 8, 2003  All County Band Auditions hosted at/by Spruce Creek High School from 4-9PM. 

·        Tuesday, December 9, 2003 Winter Concert – Orchestra, Symphonic Band and Wind Ensemble.  7PM SCHS Auditorium.  Report at 6PM.

·        Donated greenery or poinsettias are requested for use around the stage during the concert – please see Mr. Kidd

·        Thursday, Dec 11, 5PM 2nd Disney Parade. Return 9:45PM

·        Friday, Dec 12, 2003 Universal Macy’s Holiday Parade.  Report at the beginning of 7th period. Must leave the parking lot before school gets out. This is the opening day and also Media Day.  Taking 3 chartered busses provided by Universal Studios. Will stop at Millennium Mall to eat at the food court on the way home.  Return around 8:45PM.

·        Saturday, Dec 13, 2003.  Luminary sales continue.  Hopefully short day if can sell out on Dec 6th.  All students report full uniform and santa hats at 8AM

·        Monday, Dec 15, 2003 Jazz Combo reports at 5:15 to Perform 6-10PM for the Ponce Inlet Christmas Party

·        Spruce Creek High School picked as a Grammy Award Winner School Finalist.  One out of 100 schools in the country.  CD’s of all music programs will be submitted and 40 will be selected to receive between $1000 and $7000.

·        Spruce Creek is an A+ school.  A grant was submitted and a request for the music dept was given in the amount of $6.350.  This money is being used to purchase a new St Petersburg Tuba, a grand marimba, xylophone, two violas, $946 for strings for the cellos and additional items.

·        Band jacket orders are being taken.  The first order has been sent in.  The arrival date is unknown.  Jackets are $30 and can be personalized.  There will be needed for the London trip.

·        London trip – the official proposal for the London field study will be going before the school board on the consent agenda December 9, 2003.  The school boards decision will be announced at the Winter Concert.  There have been 101 deposits sent in to AWOL travel.  All deposits will be returned in full if this trip is not approved.  Airline tickets will be purchased on Dec 10th.  The Chorus will not be going. 

·        Band fees must be paid.  Orchestra fees are $75 and Band fees $180. 

·        Polo shirts are ordered and will be received after Christmas.  The logo and color has been changed.  These are included in band fees.

·        Job interviews are being conducted.  Mr. Hornilla will be leaving March 2nd.  Job Ads have been placed on the BOA web site as well as the Volusia County School Web site.  Spruce Creek has been granted a 3rd teaching unit for the next semester only beginning Jan 5th.  Position will be re-advertised for the next school year. 

·        Parents are encouraged to go out and support the band at the Port Orange Parade.  Also, water needs to be dispensed at the end of the route to the kids.

 

Adult Staffing:  Keith Kopshina

·        2700 volunteer hours to date

·        All VIP forms need to be filled out before chaperoning – this  includes Luminary sales

·        All chaperones need to sign releases for the Disney and Universal parades

·        Chaperones need to wear black Spruce Creek Polo shirt and  khaki pants

·        Be sure to sign in any time you are volunteering

 

Guard Report:  Loretta Bambier –not present

 

Uniform Report:  Mary Mathis

·        Pick up uniforms before getting on the bus to Disney

 

Concessions:  Joe & Donna Pap

·        Requested hospitality help during the All County auditions.

 

Ways and Means: 

            Luminaries:  Jenna Steen

·        Reminders to clean out trunks of cars and vans before Luminary sales

·        Fill gas tanks with gas

·        Put down plastic to protect from sand

·        Bring water for the kids

·        Bring $30 in ones for change

·        Report at 8AM – Drivers to meet in chorus room and students in the band room

·        Final instructions will be given

·        Bring cell phones and leave phone #’s in case of emergency

·        Still need volunteers for Dec 13th.

·        All 3500 kits are ready to go.  Sand will be done tomorrow.

·        Thank you to Martha and Pam for help with Santa Sweat Shop last week

·        Drivers need to be cheerleaders for the students

·        Lunch break ½ hour to 45 minutes

·        If not driving – come inside to help

·        Pre-sale forms available

·        If buying more than 10 kits the price is $5 each

·        Saturday 6th, cash prizes will be given to each student in the 1st place car of $20 each; 2nd place car at $10 each and 3rd place car at $5 each.

·        Tips and donations are accepted and encouraged.  These need to be recorded on the packet envelope in the proper place provided.

 

Silent Auction:  Still looking for a chairperson.  See Stan if willing to chair.  Several volunteers are ready to help.

Bonnie Harris arranged for use of the Port Orange Library on March 14.  This date may be changed to March 27th to correspond with the Hilton Ball capital fundraiser. 

 

Capital Campaign: Rick Spritz

The capital Campaign was originally formed to purchase instrument, concession and transportation items.  When the London trip came up it was decided to help raise funds to defray the cost for all going on this trip if approved.  80% raised would go to the trip and 20% toward capital items.  Also, the capital campaign would not be just a one-year drive.  There will be one fundraiser every year (dance or ball) and these monies would be able to be used for things that go beyond operational expenses for the music departments.
